This page explains the key ways THA Football Centres handles information when people use our website and services.
Who we are
THA Football Centres is the trading name of The Holmshaw Academy Limited. This policy explains how we handle personal information when you use thafootballcentres.co.uk, contact us, book services, shop online or interact with third-party services linked from our website.
For privacy questions, please contact simon@theholmshawacademy.com.
Information we collect
Enquiries
Our Contact form collects a name, email address, optional phone number, enquiry type, optional child age, optional preferred location and a message. It sends the enquiry to Ethan and Simon at THA. The form does not create a permanent custom enquiry record; if validation fails, safe values may be held temporarily in WordPress for up to 10 minutes so the form can be completed again.
Birthday Party requests
Birthday Party requests collect a parent or guardian’s name, email address, phone number, child age, preferred date, preferred time, preferred location, approximate number of children and a message. Requests are stored privately in WordPress as Party Booking records and are also emailed to Ethan and Simon.
Coach CPD requests
Coach CPD requests collect a name, email address, phone number, organisation or team, optional coach count, preferred date, preferred location, support request and additional information. Requests are stored privately in WordPress and are also emailed to Ethan and Simon.
Join the Team requests
Join the Team requests collect a name, email address, phone number, location, coaching experience, optional qualifications, optional current study or education, age groups coached or of interest, availability, reasons for wanting to join THA and additional information. Requests are stored privately in WordPress and are also emailed to Ethan and Simon.
Shop, customer and account information
When you shop through our WooCommerce store, we may collect the information needed to process an order and support your account, such as name, billing or shipping address, email address, phone number, order details and account information where an account is created. Guest checkout is available and customers may choose to create an account.
Customer relationship information
Customer and contact details may be stored in our site CRM, Jetpack CRM, to help manage enquiries and customer relationships.
Free-text and sensitive information
Our custom website forms do not have a dedicated medical-information field. However, people may choose to include sensitive information in a free-text message. Please only include information that is necessary for your enquiry.
Images and player stories
Our website uses genuine photographs and videos of children and coaches. We may also publish approved player stories, which can include a player’s name, excerpt or content, and development or progress information.
How we use information
We use personal information to respond to enquiries, manage booking and service requests, administer services, manage customer relationships, process orders and payments, communicate about services, manage recruitment interest and operate active marketing and ecommerce integrations.
For football bookings, ClassForKids is used to administer booking and participation information. This can include safeguarding and participation information collected in the ClassForKids environment.
Where information is stored
Depending on the service you use, information may be stored in the WordPress database and private WordPress request records, Jetpack CRM, email inboxes, WooCommerce, ClassForKids, Mailchimp, Stripe and Meta/Facebook where the relevant integration is active.
Private Party Booking, Coach CPD and Join the Team request records are restricted to authorised WordPress administrators and are not publicly displayed through the website.
Third-party services
ClassForKids
We use ClassForKids for football session booking. THA pages may link to ClassForKids or load trusted ClassForKids booking pages in an iframe on some session and venue pages. Our own custom website forms do not send booking form data directly to ClassForKids.
Information entered directly into ClassForKids is collected in its own environment. This may include a child’s full name, date of birth, parent or guardian name, parent email address and phone number, medical conditions or information, emergency contact details, photo or media consent and payment details.
Stripe
Stripe is the active payment processor for WooCommerce. Payment information is processed through Stripe; THA does not need to receive or store full raw card details in its own custom website code.
Mailchimp
Mailchimp is used for email campaigns and is connected to WooCommerce. Customer, contact and cart information may be synced to Mailchimp for ecommerce, transactional and audience-management purposes. New contacts who have not subscribed may also be synced; this does not mean that every synced contact has opted into marketing communications.
Meta / Facebook and Messenger
Meta for WooCommerce is connected. Where that integration is active, website or store interaction and ecommerce information may be shared with Meta for analytics, advertising or store-integration purposes. Our Chaty contact button can take visitors to Facebook Messenger; information sent there is processed on Meta’s service. The email option is handled through the recipient email systems.
WordPress services
We use WordPress to operate the website and may use WordPress.com or Automattic services where relevant to operating it. Site integrations may change, and this policy will be updated when material data-handling changes are made.
Marketing and email
Mailchimp is used for email campaigns. WooCommerce customer, contact and cart information may also be synced for ecommerce, transactional and audience-management purposes. Marketing communications and preferences should be managed in line with the options provided in the relevant communication.
Our custom Contact, Birthday Party, Coach CPD and Join the Team forms do not send an automatic acknowledgement email to the visitor. Their submissions are sent through the WordPress hosting or mail system to Ethan and Simon.
Children’s information
THA services involve children. ClassForKids booking information may include a child’s name, date of birth, medical information, emergency contact details and media-consent preferences. We use this information only as needed to administer services and safeguarding or participation arrangements.
Approved images and player stories may appear publicly. Only approved player stories should be shown on the website.
Payments
Stripe processes payment information for WooCommerce. ClassForKids may separately process booking and payment information in its own environment. We do not state that THA stores raw card details in its own custom website code.
Retention
Information is kept only as long as reasonably necessary for the relevant purpose, operational needs, legal or accounting requirements, or dispute handling. Specific retention periods may vary by system. No fixed retention period is currently stated here for most systems.
Security and access
Private request records are restricted to authorised WordPress administrators. We use reasonable technical and organisational measures to protect information, but no online service can guarantee absolute security.
Your rights
Depending on the circumstances, UK data-protection law may give you rights to ask for access to, correction of or deletion of personal information, to object to or restrict certain processing, or to request portability. You may also have rights relating to marketing communications. Contact us at simon@theholmshawacademy.com if you would like to make a request.
Contact and complaints
For privacy questions, contact simon@theholmshawacademy.com.
You may also have the right to raise concerns with the UK Information Commissioner’s Office.
Changes to this policy
We may update this Privacy Policy when our website, services or data handling change.
